For many Poles in the States, this moment comes unexpectedly – a passport that recently had “plenty of time” until expiration suddenly turns out to be valid for too short a period for a planned trip or has already expired. Meanwhile, the entire procedure – from booking an appointment to collecting the new document – can be time-consuming, and the appointment booking system in e-konsulat can test the patience of even the most organized individuals. Below, we explain step-by-step how it really works, based solely on official information from Polish consular posts.

Why you shouldn’t wait to renew your passport

Many airlines and countries require a passport to remain valid for several months after the planned return – a document that is “just barely” valid may therefore prevent travel. In addition, there is a real, multi-week waiting time: as informed by the Consulate General of the Republic of Poland in New York, the average waiting time for a biometric passport is about 6–8 weeks, and in some situations, it may be longer. However, before the documents are processed, you still need to secure an appointment – which, as the practice of many consular districts in the USA shows, can be the most time-consuming stage of the entire procedure.

Therefore, a sensible rule is to start the procedure well in advance – ideally when there are still several months left until the passport expires, not just before a planned flight. It is worth remembering that applying for a new passport does not require the previous one to have already expired – you can apply for a new document even if the current one is valid for several more years, for example, if the old passport lacks space for visas and border stamps.

How appointment booking works via e-konsulat

Receiving clients for passport matters at Polish posts in the USA is done exclusively by prior appointment – this is confirmed by both the website of the Consulate General of the Republic of Poland in New York and the official gov.pl service. Telephone registration is not possible. The entire process takes place through the e-konsulat system (secure.e-konsulat.gov.pl): after entering the website, you select the country (United States) and a specific post, and then from the “Consular appointments” menu – the “Passport matters” tab. The system asks for the number of people for whom applications will be submitted, and then allows you to choose an available date and time. This is a nationwide government system, handling reservations at all Polish diplomatic posts worldwide – a common MFA platform, not a proprietary solution of a single consulate.

Why appointments can be hard to get – and how to deal with it

Consular districts covering large Polish communities – such as the New York district, which includes Connecticut, Maine, Massachusetts, New Hampshire, New Jersey, New York State, Rhode Island, and Vermont – are among the most burdened. Available appointments can “disappear” within minutes of being released. It’s worth knowing a few mechanisms that genuinely help:

  • Check the schedule for new appointment releases. Consulates of the Republic of Poland release new slots periodically, but the schedule varies depending on the post – some do it on specific days of the week and at certain times. It’s worth checking the e-konsulat website or the consulate’s website to see when new slots for New York appear, and log in at those times.
  • Use the “passport queue” if the system offers it. If there are no available appointments, e-konsulat at many posts allows you to sign up for a waiting list – if a spot becomes available, an appointment proposal is sent, which must be confirmed within a specified time, otherwise you return to the end of the queue. Specific rules vary between posts.
  • Passport matters can be handled at any consular office of the Republic of Poland – not just the one “assigned” to your state of residence. This is directly confirmed by gov.pl: “You can submit a passport application at any consular office of the Republic of Poland.” If appointments in New York are unavailable for a long time, and, for example, the consulate in Chicago, Los Angeles, or Houston has available slots and travel is possible, this is a legal option – with the caveat that the ready passport can only be collected where the application was submitted.

What documents to prepare

According to information from Polish consular posts in the USA, for a passport appointment for an adult, you need to prepare: a current, color biometric photo (taken no earlier than 6 months before submitting the application, mandatory to attach at the application stage – if it does not meet the requirements, the application will be rejected, so it’s better to have it done by a photographer); a valid current passport, or if not available – a valid ID card confirming identity and Polish citizenship; in case of a name change after marriage abroad – a short or full copy of a Polish marriage certificate (a foreign certificate must first be transcribed into the Polish civil registry); and a document confirming the right to a discount or exemption from the fee, if applicable.

The application no longer needs to be filled out manually before the visit. The consular officer fills out the form electronically during the meeting, and the applicant confirms the correctness of the data by signing on a special device (signature pad). If the consul has doubts about identity, citizenship, or if there are discrepancies between the presented documents, they may ask for additional documents, e.g., a copy of a Polish civil status record.

How the visit itself proceeds – biometrics

An application for a passport for an adult must be submitted in person – it cannot be done through a proxy or online. During the visit, the consul (or authorized employee) verifies identity based on the submitted documents, and then collects biometric data: facial image and fingerprints, which are included in the electronic layer of the new passport. Without a PESEL number, it is not possible to issue a biometric passport – if someone does not have one, an application for a PESEL number must also be submitted during the visit. It is advisable to arrive sufficiently early and have all documents ready – the consulate will not accept the application if the photograph or identity documents do not meet the requirements, in which case a new appointment must be made.

Collection of the ready passport

The new passport is collected in person, exclusively at the same post where the application was submitted – consulates do not send documents to other offices or issue them outside the jurisdiction of that post. There is no need to make an additional appointment for collection via e-konsulat; simply check the “Check if your passport is ready” page on the gov.pl portal, by entering the application number from the confirmation of document submission, and report during the designated collection hours (at the Consulate General of the Republic of Poland in New York, these are Monday, Tuesday, Thursday, and Friday 9:00–13:00, and Wednesday 11:30–16:00). You must bring your current passport – it will be canceled, with the exception of pages containing valid visas, and returned to the owner.

In justified cases, especially when travel to the consulate is particularly difficult, the consul may waive the requirement for personal collection and send the passport by courier at the applicant’s expense – this option must be arranged during the application submission, as changing the collection method after the fact is not possible. A document collected in this way must be activated independently via the electronic service on gov.pl.

Temporary passport – when it’s useful and how long it’s valid

If a new biometric passport is still on its way, and travel cannot wait, a temporary passport can be a solution. Such a document can be obtained by, among others, individuals who are abroad and waiting to collect a biometric passport (the application must then be submitted at the same post), who temporarily cannot provide fingerprints, or who find themselves in an emergency situation: return to permanent residence, illness, funeral of a family member, professional matters, children’s education, or the need to provide them with care.

A temporary passport does not contain biometric data, and its validity is set by the official – always for a period not exceeding 365 days from issuance. In practice, this can be just a few days or weeks, tailored to a specific need, and not automatically a full year. Some countries may not honor a temporary passport upon entry – before traveling, you must check this directly with the relevant authorities or the embassy of the given country.

The fee for a temporary passport varies depending on the reason for issuance. According to the price list of the Consulate General of the Republic of Poland in New York, as of July 2026: 24 USD if the document is issued while waiting for the collection of a biometric passport, whereas in other urgent cases – 59 USD during office hours, 118 USD outside office hours, and 235 USD on a non-working day. Discounts applicable to a regular biometric passport do not apply here.

How much a regular passport costs

According to the current price list of the Consulate General of the Republic of Poland in New York (as of July 2026), the fee for issuing a standard biometric passport is 165 USD, payable upon application – in cash, money order, cashier’s check, or card; consulates do not accept personal checks. Discounts (50% or 75%) are available to, among others, students aged 18–26, retirees, pensioners, people with disabilities, or holders of the Large Family Card, upon presentation of the appropriate document. People over 70 years of age and several other categories are completely exempt from the fee. The exact rate for other posts in the USA – Chicago, Houston, Los Angeles, or Washington – should always be checked directly on the website of the respective consulate.

Common mistakes when renewing a passport

Several pitfalls are particularly common and can genuinely prolong the entire procedure:

  • Starting too late. Buying a ticket or planning a trip without a valid document is a risk that consulates do not take on themselves – no purchased trip grants the right to expedited service.
  • Photo not meeting requirements. This is one of the most common reasons for an application to be rejected at the outset – it’s worth having the photo taken by a photographer if you are unsure about the technical requirements.
  • No reaction to an appointment proposal from the passport queue. If you do not confirm the appointment within the specified time, you usually return to the end of the waiting list and have to start booking again.
  • Assuming that a passport can be collected at a different post than where the application was submitted. This is not possible, even if someone moves to another state in the meantime.
  • Treating a temporary passport as a full-fledged substitute. Without biometrics, with limited validity, and no guarantee that every country will recognize it – this is an emergency solution, not a permanent one.
  • Not updating data after a name change. After marriage and a name change, you must replace your passport immediately – after 120 days from the data update in PESEL, the old document automatically loses validity, and after this period, the reduced fee for replacement no longer applies.

For most people, renewing a passport is a procedure that can be completed independently – the key is to plan the visit in advance and gather the documents. However, there are more complex situations: confirmation of Polish citizenship for people born abroad, transcription of foreign civil status records, or discrepancies in documents.
